A temperature record for every trip

When a job closes, the temperature report lands in the customer’s inbox on its own. Without being asked for, without waiting, and detailed enough to support a claim or an audit.

What the report contains

Continuous graph
The temperature curve for the whole journey, not isolated readings at selected moments.
Two independent probes
Readings from both trailer probes, which is what allows a sensor fault to be ruled out.
Events
Every door opening with its time and duration, plus vehicle stops.
Route
Origin, destination and the actual route run, with loading and delivery times.
Identification
Unit registration numbers, job reference and consignment details.
Digital signature
The document is issued signed, so it can be verified as unaltered.

When and how it arrives

It is issued automatically at the close of the job and emailed to the contact the customer nominates. There is no need to request it trip by trip or wait until month end.

Data is retained for 5 years, beyond the one-year minimum that Regulation (EC) No 37/2005 sets for quick-frozen foodstuffs. If a customer needs an old trip record for a claim or an audit, it is enough to ask for it with the job reference at +34 972 863 031.

What it is actually used for

  • Customer audit. It is the documentary evidence a quality-managed customer or retail chain asks for when auditing its logistics supplier.
  • Official inspection. It evidences compliance with the temperature recording obligation for transport.
  • Cargo claim. It establishes whether there was an excursion, when and how large, which is what decides where liability sits.
  • GDP qualification. In pharmaceutical transport the record is a Good Distribution Practice requirement, not an extra.

Frequently asked questions

Does the temperature record cost extra?

No. It is included on every job across all six service lines. It is part of the working standard, not a service bought separately.

Can the record be integrated with our systems?

The report is sent in a standard document format, archivable and auditable. For specific integration requirements, talk it through with the traffic desk at +34 972 863 031.

How long is the data kept?

Five years. Regulation (EC) No 37/2005 requires quick-frozen transport records to be kept for at least one year; CoolCargo keeps five, to cover longer claim periods and audit cycles.
